After going through a few messy goof ups, here’s a breakdown of how we ensured every key finds its way back to the right hands.

  1. Clear Tagging System: When a vehicle arrives, our Service Advisor promptly tags it with the corresponding registration number. This small but vital step sets the stage for organized key handling throughout the repair process.

  2. Strategic Vehicle Movement: Our Service Advisor or Driver takes charge of moving the vehicle to its designated repair bay or temporary holding area. If the vehicle is placed in a repair bay, the key stays with the vehicle. If it’s in the temporary area, we securely lock the vehicle and hand the key over to the Front Desk.

  3. Organized Key Storage: At the Front Desk, keys find their place in a dedicated bin or on a board, each marked with specific bay numbers. This organized system ensures that every key is exactly where it should be, minimizing the risk of mix-ups.

  4. Key Assignment Register: To keep track of key movements, we maintain a meticulous key assignment and acceptance register at the Front Desk. This register logs who receives or returns a key, creating a clear trail of responsibility.

  5. Finalizing the Repair: Once the repair and cleaning process is complete, the vehicle is parked in the delivery or parking bays. The key is then handed over to the Front Desk, ready for the next phase.

  6. Secure Key Handover at Delivery: When it’s time for the vehicle to be returned to the customer, our Service Advisor collects the key from the Front Desk. The key is handed over to the customer only after the full payment is received, ensuring a smooth and secure transaction.

  7. Employee Training: Ensuring that all staff members understand and adhere to key management protocols is essential. Regular training sessions can help reinforce the importance of this process.

  8. Key Security Measures: Installing surveillance cameras in key areas can provide an extra layer of security. It not only deters potential theft but also provides visual evidence in case of any incidents.

Addressing Key Loss Hassles: We understand the significant hassle that comes with a lost key, especially central or remote locking keys that hold commercial value. Replacement costs can be substantial, depending on the vehicle type. Many times, these replacement keys can only be obtained only from the Dealer, making the process lengthy and expensive. This not only causes inconvenience to the customer but can also lead to a loss of trust. Obtaining a replacement key involves multiple steps, including authorization from the customer and potentially the financing company (if the vehicle is under finance). It also requires a full advance payment to the dealer and can take anywhere from 2 weeks to 3 months, depending on the manufacturer. In some cases, the vehicle may need to be towed to the dealership for final programming. Think of all the costs, the hassle and loss of customer trust – its just better to have a key movement process.
